How to Buy Wholesale Privacy Screen Filters from a China Manufacturer

A buyer's 8-step guide to wholesale privacy screen filters from China: device list, samples, MOQ, lead time, packaging, payment, shipping and inspection.

Buying privacy screen filters wholesale from a China manufacturer works best when you treat it as a short, documented sequence: define the device list, request a sample on the real hardware, confirm the order scope against the factory’s MOQ and lead-time rules, then agree packaging, payment and shipping before production. Most delays and disputes in imported privacy filter orders come from skipping one of these steps, not from the filter itself.

This guide walks through that sequence from the buyer’s side. It is written for IT procurement teams, distributors, resellers and private-label brands placing a first or repeat order. Where a number is given, it is ScreenWord’s own published term; other suppliers will use different figures, so ask each one for theirs in writing.

Step 1: Decide what kind of order you are placing

Before contacting any factory, place your requirement into one of three groups. Each group has a different MOQ, lead time and amount of information you need to provide.

Order type Typical buyer What you must supply What changes on the factory side
Standard in-stock sizes IT teams equipping a laptop or monitor fleet; resellers restocking popular sizes Screen size, aspect ratio and quantity per size; preferred attachment Picked from existing stock; no tooling
Device-specific installation Buyers standardizing on MacBook, Surface or one monitor model Exact model reference plus visible width and height in millimeters Correct cut and attachment kit for that model
Custom or private-label project Brands, distributors, POS, kiosk and industrial-display projects Drawing or measured visible area, shape, touch use, packaging and artwork needs Custom cutting, packaging and labeling; a production slot

Mixed orders are common: a company might need 300 standard 14-inch laptop filters, 40 MacBook filters and 60 custom filters for a reception kiosk. List them as separate lines instead of one combined quantity. That keeps the quote readable and stops a custom line from delaying the in-stock lines. If you are still deciding which devices need standard or custom parts, our guide to standard vs custom filters for a mixed device order shows how to sort the list.

Step 2: Build a device list the factory can quote from

The single most useful document you can send a privacy filter supplier is a device list with real measurements. A screen’s diagonal inch label is a starting point, not a specification: two “15.6-inch” laptops can have different visible areas, bezels and camera positions.

For each line, record:

  • Device type and model, for example a specific laptop or monitor model, or “custom kiosk display”.
  • Visible display width and height in millimeters, measured on the active screen area.
  • Aspect ratio, such as 16:9, 16:10 or 3:2.
  • Attachment preference: magnetic, nano adhesion, clip or adhesive strips, or hanging for monitors.
  • Privacy direction: two-way or four-way; see two-way vs four-way privacy filter orientation.
  • Touch use, if staff will tap or sign through the filter.
  • Quantity per line and the target delivery date.

Our measurement worksheet lists these fields in order. If you only have a spreadsheet of laptop models from an asset system, send that together with a photo of one representative device for each group. On ScreenWord’s forms you can paste the list directly, then share the full spreadsheet, PDF, photo or drawing by WhatsApp, Telegram or WeChat after submitting.

Step 3: Ask for a sample on the real hardware

A sample answers questions that no specification sheet can: whether the attachment holds on your bezel, whether the laptop lid still closes, whether the webcam stays clear, and whether staff find the screen too dark at their normal brightness.

Order a small number of samples per device group rather than one sample for the whole project. Then test each sample on the device it is meant for:

  1. Install it the way an end user or IT technician would, following the included instructions.
  2. Check lid closure, sleep sensors and camera clearance on laptops. Magnetic filters in particular should be checked against the sleep sensor; see our note on magnetic privacy filters and laptop sleep sensors.
  3. Look at the screen from the user’s seat and from the side at the distance a colleague or customer would stand.
  4. Remove and refit it a few times if employees will take it off for screen sharing or presentations.
  5. Record results against the device model and attachment type, not just “OK”.

ScreenWord samples are available in approximately 2–3 days. Sample terms and timing for custom shapes are set per project, because a custom part has to be cut from your drawing first. If you are comparing samples from several suppliers, keep the test identical for each; our sample comparison guide gives a simple side-by-side format.

Step 4: Match the order to MOQ rules before you ask for a final price

Minimum order quantities differ between standard products, custom filters and custom packaging. Mixing them up is the most common reason a first quote looks more expensive than expected.

ScreenWord’s published terms are:

  • Standard in-stock products: no MOQ. You can order the exact quantity per size.
  • Custom privacy filters: minimum 50 pieces per custom item.
  • Custom color-box packaging: minimum 1,000 boxes, regardless of filter size.

The packaging rule matters for private-label buyers. A brand that needs 200 filters in its own printed retail box will meet the filter MOQ but not the packaging MOQ. Practical options include using neutral packaging for the first run, applying a label to a plain box, or combining several sizes into one packaging order so the box count reaches the minimum. We cover these trade-offs in planning a custom privacy filter pilot when packaging MOQs differ.

Once the lines are grouped by MOQ, ask for a quote that shows a unit price per line, the packaging cost separately, and the sample cost if any. A single blended price makes it hard to see which line drives the total.

Step 5: Plan the timeline backwards from your delivery date

Lead time for an imported privacy filter order has three parts: sample, production and transit. Write each one down with the date it must finish.

Stage ScreenWord published timing What the buyer controls
Sample Approximately 2–3 days for available samples; custom samples set per project How quickly measurements, drawings and test feedback are returned
Production In-stock products ship within 3 days; custom production usually ships within 7–10 days Approving artwork, packaging and final quantities without changes
Transit Depends on destination and the shipping method chosen Choosing express or freight, and preparing import paperwork

The production figures above start once the order scope is confirmed. In practice, most delays happen before that point: a missing measurement, artwork still under review, or a quantity changed after approval. If you need goods on a fixed date, such as an office move or a store opening, count back from that date and leave a buffer for customs. Our custom project timeline guide shows how to set those dates.

Step 6: Confirm packaging, labeling and instructions

For an IT rollout, packaging mostly needs to protect the filter and tell the technician which device it fits. For resale, the box is part of the product: it carries the size, compatible devices, barcode and installation steps.

Settle these points in writing before production:

  • Retail color box, plain box or bulk pack.
  • Whether each package is labeled with the device group or size so it can be matched at receiving.
  • What accessories are included: attachment strips, clips, cleaning cloth, spare magnetic tabs.
  • Installation instructions in the customer’s language. Our guide to writing installation instructions customers can follow covers what to include.
  • Carton marks and quantity per carton, which make receiving faster.

Step 7: Agree payment and shipping terms

ScreenWord accepts T/T (bank transfer), credit card and PayPal. For any supplier, confirm in the quote:

  • Which payment method applies, and whether a deposit is required before production.
  • The currency and whether bank or card fees are included.
  • The shipping method, with destination country and postal code so freight can be estimated.
  • Who handles import duties and customs clearance at the destination.

Ask for these terms on the same document as the price. A low unit price with unclear shipping can cost more once freight and duties are added; our deployment cost worksheet lists the costs that usually sit outside the unit price.

Step 8: Inspect the shipment before you deploy it

When cartons arrive, check them against the order lines before anything is issued to employees or listed for sale. Count units per size, confirm labels match the device groups, check a few filters from each carton for scratches or bubbles, and test-fit one unit per group on the real device. Keep a written record so any discrepancy can be raised with the supplier quickly. Our incoming inspection checklist for bulk privacy filters provides the record format.

What to look for in a China privacy filter manufacturer

A factory that is easy to work with on privacy filters will usually:

  • Ask for visible dimensions and the device model instead of quoting from an inch size alone.
  • Separate standard, device-specific and custom lines in the quote.
  • State MOQ, sample timing and production timing clearly and in writing.
  • Offer more than one attachment method, so you can choose by how the device is used.
  • Reply to a specific technical question, such as camera clearance or touch use, with a specific answer.
